Wednesdays, 1:30 PM – 4:20 PM PT, Winter Quarter (January-March 2025), In-Person

Course Conference = Wednesday, March 12th 1:30 – 7:30pm (through dinner)

Position Description:

The Community Engaged Learning Coordinator (CELC) is a key member of the teaching team for MED 232. We welcome applicants who have strong logistical skills, are familiar with communicating with professionals in the technology industry, and have experience organizing a conference for students, faculty, and professionals. We seek a CELC who is passionate about engaging with community partners.

Applicants must be current undergraduate students at Stanford University.

The CELC will assist with planning and coordinating the end-of-quarter conference. They will communicate with partners and stakeholders to invite them, will assist with inviting guest speakers, and will handle the logistics for

the event. The CELC will work closely with the course manager (Meghana Nerurkar) and instructors (Dr. Anurag Mairal, Dr. Krista Donaldson, and Dr. Michele Barry). 

The Community Engaged Learning Coordinator’s responsibilities include:

Planning and coordinating the Global Health Conference

  • Finding and reserving the conference venue.
  • Working within an agreed upon budget for the conference.
  • Placing event services requests and catering orders. 
  • Creating a flier advertising the conference and dissemination strategy at Stanford and on social media.
  • Putting together a transportation and hotel guide for out-of-town guests.
  • Assisting the teaching team with developing an invitation list.
  • Creating a RSVP form to track registration.
  • Creating and managing the conference agenda, including a detailed run-of-show for the event.
  • Inviting guest speakers and ensuring they are prepared and ready to present on the day of the event.
  • Working with the class TA on the day of the event to ensure that all of the student project slides are queued up, guest speaker slides are ready to go, and working through technical issues as they arise.
  • Coordinating the check-in process on the day of the event.
  • Other logistical tasks related to coordinating a conference.
  • Recruiting and managing conference volunteers, as needed.

Course organization and management support

  • Attending the last hour of class each week on Wednesdays from 3:30 – 4:20 pm during Winter Quarter.
  • Communicating with course project mentors when asked.
  • Attending weekly meetings with course instructors and the course manager. 
  • Assisting the course TA if/when necessary.
  • Attend a two-hour Community Engaged Learning Coordinators training session organized by the Haas Center for Public Service.

The course also hosts a number of well-established experts in the field as guest speakers.

Requirements:

  • Highly organized and detail-oriented; completes tasks on time or ahead of schedule
  • Enjoys working with students, faculty, professionals in the global health and technology fields, and comfortable with public speaking and hosting public figures
  • Strong interest in global health and health equity
  • Able to commit to an average of 5 hours per week, recognizing that some weeks will be lower and the week of the conference (week of March 10-14) will be higher
  • Able to fluently use Microsoft and Google software, especially PowerPoint and Slides. Able to create professional presentations with compelling images, graphs, and data.
  • Excellent written and oral communication skills
  • Able to set up and manage audio-visual and online communication tools and technology
  • Great problem-solver and team member!

Preferred:

  • Experience with being in a leadership role within a student or other organization
  • Experience working or volunteering at a conference
  • Took MED 232

Position Supervisor: Meghana Nerurkar, Manager of Courses and Global Programs, Stanford Biodesign. 

Hours: The CELC is expected to work a total of 5 hours per week. Hiring will be done before the start of Winter quarter and the official start date will be Monday, January 6th, 2025. The CELC training session is mandatory and may be held prior to the start of the quarter.

Compensation: It will be commensurate with experience and will follow the Student Wage Scales set by the University.
